We are growing rapidly! We're looking for an experienced Accounts Receivable Specialist to perform a variety of accounting, bookkeeping and financial tasks. The ideal candidate has experience administering a consistent and timely order entry, invoicing and collections process to ensure that DroneSense can build and maintain an efficient Orders-to-Cash engine. DroneSense is looking for an organized, analytical individual with exceptional customer service skills and project management skills. The AR Specialist will follow through with the company's collections processes on a consistent schedule, compile accounts receivable reports and reporting into Customer Success (CS) and Finance. Role will also be pivotal in making process improvements to invoicing and collections in agreement with CS and Finance management.

What would I be doing?

  • Verify customer deal information between Hubspot and Maxio
  • Build field sales transaction detail in and enter partner purchase orders (PO's) into Maxio (formerly SaaS Optics)
  • Create customer invoices in Maxio for syncing with QuickBooks Online (QBO)
  • Send QBO invoices electronically to customers or partners
  • Verify receipt of invoices by customers using QBO
  • In the event of no receipt by customers, identify appropriate customer AP contact and re-remit invoices
  • Communicate with Account Managers to identify appropriate customer contacts when needed, and keep them apprised of payment delinquencies for discussion during Quarterly Business Reviews
  • Communicate with customers by written and verbal correspondence to request payments and make payment arrangements in the event of budget / funds appropriations issues
  • Maintain accounting software databases and spreadsheets with invoicing and collection effort notes
  • Create reports and balance sheets that document payments collected and still owed
  • Update client accounts based on payments or contact information
  • Qualifications

  • Bachelor's Degree in Accounting, Finance or Business Administration, or related field.
  • 2-3 years of experience in accounting with experience in Order Entry, Invoicing & Collections. Familiarity with bookkeeping and accounting procedures.
  • Exceptional interpersonal, written, and verbal communication.
  • Attention to detail and expert data entry skills.
  • Active listener with good note taking skills.
  • Strong problem-solver.
  • Ability to self-manage time and tasks.
  • Proficiency with Quickbooks Online is preferred.
  • Maxio (SaaS Optics) software experience preferred.
  • Hubspot CRM experience a plus.
  • Experience with Google Workspace (G Suite) and Macbook OS is helpful.
  • Microsoft Office proficiency is also preferred, specifically Excel and PowerPoint.
  • A low-ego, team-first mentality.
  • Able to execute on objectives with high-level direction and minimal supervision.
  • Preferably located in Texas or Virginia
