Hybrid: This is a Hybrid position within our IT Organization. The role will allow employees to work offsite but also require onsite work based on business needs. The selected candidate will be expected to commute to the innovation center to which they are assigned as their primary GM facility.
Your responsibilities include multitasking and managing a broad scope of task assignments. These include schedule and calendar management, meeting agendas, staff communications, coordination of travel, expenses, and events. This position requires precise accuracy and coordination. A successful candidate for this position will be someone who has consistent attention to detail, robust organization and reasoning skills, outstanding communication skills, the ability to handle all responsibilities in a discreet and efficient manner, and expert level use of MS Office products.
Responsibilities:
Manage an active calendar of appointments, understand priority / urgency, and reorganize appropriately for multiple executives
Expedite handling of correspondence and phone calls while maintaining a high level of discretion and communicating professionally both internally and externally
Use Microsoft Suite (Word, Excel, PowerPoint) to prepare, modify and proofread communications
Complete various assignments as requested with minimal direction, including meeting planning, employee recognition events, and special projects
Maintain records and confidential files
Coordination of complex meetings and travel planning while maintain multiple calendars
Onboarding/ and Offboarding administrative duties
Continuously looking for ways to improve efficiencies of day-to-day tasks
Support travel arrangements, Visa, Passport requirements and associated expense reports
Lead all aspects of office administration using independent thinking and judgment with sole discretion for office procedures
Handle department purchases while using self-judgment for cost saving opportunities
Maintain records, confidential files, and GM-specific reports
Create and email communications across the organization
Qualifications:
High School diploma or equivalent is required
7+ years experience as an executive assistant supporting Senior Management / Executives
Excellent organizational skills with an ability to think proactively and prioritize work
Demonstrated ability to work independently and collaboratively on projects in a fast-paced environment and must be able to work under pressure
Strong written and oral communication skills
Problem solving using independent thought and decisiveness
Advanced level of proficiency in Microsoft Office (MS Suite, scheduling, the internet, Outlook, and knowledge of SharePoint)
Demonstrated ability to take initiative and work independently
High level of integrity
Preferred qualifications:
Associate's degree or Bachelor's degree or equivalent experience
Professional training and/or certification(s) in Administrative Skills/Support is preferred
Training and Education experience is preferred
