Job Description

Summary

The Shipping & Receiving Coordinator performs administrative duties in support of activities related to the shipping of finished goods. Communicates and coordinates with transportation companies. Handles routine questions and problems and maintains open communication with other departments throughout the shipping/delivery cycle. Confirms the accuracy of invoices, bills and charges relative to the shipment of goods. Logs order information into the computer and files and distributes paperwork as necessary. Maintains records and generates reports for accounting and other areas.

Position Responsibilities

  • Executes shipping processes including packaging, labeling and shipment of product
  • Identifies, tracks and maintains all necessary materials and documentation to support internal and external audits
  • Researches shipping internationally to U.S. allies. Coordinates shipments for commercial, DoD and international conveyance including all necessary documentation, schedule freight shipments with freight forwarders and carriers and verify shipments' compliance integrity
  • Maintains department database, prepare routine reports, and file shipping/receiving records
  • Identifies shipping requirements and best routes and methods for delivery to meet customer requirements
  • Implements best practices including safety requirements, maintaining desk procedures and mentoring junior level staff
  • Works with various departments to coordinate shipping efforts, including Contracts, Legal, Business Development, Engineering, Finance and Supply Chain
  • Works on assignments requiring considerable judgment and initiative
  • Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental standards. Performs work assignments under minimal supervision

  • Basic Qualifications (Required Skills & Experience)

  • High School Diploma or GED equivalent
  • Minimum of 4 – 6 years' relevant experience
  • Experienced supporting FAA and DOT audits as well as working cross- functionally with other departments
  • Advanced experience utilizing UPS, DHL or FedEx online shipping system
  • Strong computer skills and proficiency in MS Office, especially Word and Excel
  • Is competent in use of shipment processing and vendor related programs
  • Effectively prioritizes workload to meet scheduling demands and timelines
  • Other Qualifications & Desired Competencies

  • HAZMAT ground and air shipping certification is preferred
  • 4+ years in a global shipping environment is preferred
  • Prior forklift experience and/or certification is a plus
  • Able to excel in a fast-paced, deadline-drive environment, where small teams share a broad variety of duties
  • Displays strong initiative and drive to accomplish goals and meet company objectives
  • Takes ownership and responsibility for current and past work products
  • Is committed to learning from mistakes and driven to improve and enhance performance of oneself, others and the company
  • Has strong understanding of International shipping and customs. Possesses strong organizational skills and attention to detail
  • Focuses on teamwork, collaboration and puts the success of the team above one's own interests
  • Physical Demands

  • Ability to work in a warehouse environment (Constant)
  • Ability to regularly stand for long periods of time (Frequent)

  • Required to sit; climb or balance and stoop, kneel, crouch, or crawl (Occasional)
